Job description
You will be the strategic partner of the presidency: you will optimize the executive's time usage, structure information to accelerate decisions, and orchestrate priority coordination with teams. Your impact will directly affect the smoothness, rigor, and performance of the executive functioning.
Mission
Support the presidency by optimizing the agenda and priorities, preparing key decisions, and ensuring effective coordination with internal and external stakeholders.
Key Responsibilities
Strategic time and priority management
Orchestrate the executive agenda according to strategic priorities and deadlines.
Filter, prioritize, and redirect requests; anticipate needs and prepare deliverables in advance.
Decision-making preparation
Produce clear summaries and executive syntheses (one-pager, issue notes, recommendations).
Structure complex files, consolidate data, and clarify options.
Follow-up on strategic projects
Monitor the progress of projects related to the presidency (milestones, risks, indicators).
Organize steering meetings; coordinate stakeholders and ensure follow-ups.
Information processing
Filter and synthesize incoming information; ensure the quality, consistency, and traceability of documents.
Keep repositories up to date (decisions, deliverables, schedules).
Key Relationships
Map out key contacts (internal/external) according to the files.
Prepare meetings (briefs, context, issues, objectives, key messages); ensure smooth communications.
Support to the executive committee (COMEX) and the board of directors
Plan meetings; prepare and coordinate documents (agenda, notebooks, minutes).
Ensure follow-up on decisions, actions, and deliverables.
Special projects and continuous improvement
Contribute to ad hoc mandates from the presidency.
Simplify processes, standardize templates, and establish best practices.

Job requirements
Education & Experience
College or university degree in administration (or equivalent).
Significant experience with executives and/or a board of directors.
Mastery of complex schedules, executive meetings, and governance documents.
